Accounts Receivable and Collections Manager

To work within the Finance organization in achieving the collection set goals, in line with the company policy and established procedures. Responsible for providing AR support to the accounting department and branch network by ensuring that all debtors (Accounts Receivable) are followed up in a timely manner in accordance with our Trade Conditions.

 

Responsibilities

Financial and Accounting Functions:

  • Responsible for leading AR team and driving collection goals to improve cash flow, DSO and achieve company KPIs.
  • Monitor and track daily analysis of AR portfolio and manage past dues to reduce credit exposure and minimize risk.
  • Follow up outstanding debtors by telephone, email, or letter with a view to receiving prompt settlements of our invoices.
  • Resolve accounts or documentation problems and discrepancies related to debtors with customers and our other US branches ensuring immediate response to maximize cash flow, in a timely manner.
  • Follow up Cash on Delivery (COD) payments.
  • Liaise with all Rohlig USA branches and overseas agents to chase branch debt
  • Processing check deposits, bank deposits and cash allocations as well as running and distributing debtor reports.
  • Closing at month end and year end and provide support during year end external audit
  • Be familiar with the Rohlig USA and Rohlig Quality procedures and work instructions and conduct activities in accordance with established Quality Management policies.​​​​​​​

Client and Supplier Management:

  • Maintains regular contact with other departments and clients to obtain and convey information and/or correct transactions, and ensure accurate data in our EDI computer system.
  • Reacts in a timely manner if there are any discrepancies and keeps record of discrepancies via the Innovations and Incidents Management (IIM) to ensure compliance.
  • Regularly reviews reports in order to refine and improve services to the customer.
     

Performance Measures:

  • Demonstrates good interdepartmental relationships, as well as liaisons with clients and overseas agents, makes customers and their needs a primary function of one’s action and decisions.
  • Can work productively despite setbacks, obstacles and work pressures, remains optimistic, focused and controlled.
  • Show initiative with handling complex problems and regularly reviews reported discrepancies and complaints in a timely manner, in order to refine and improve processes to the customer.
  • Accounting documents are accurate, and records and files are appropriately maintained and managed.
  • Set goals and objectives for specified departments in accordance with company guidelines in key performance areas and using agree key performance indicators.
  • Accounting functions are completed to the minimum standard to which Rohlig USA is committed, and implementation of Rohlig USA Quality Procedures. As part of the team ensures the company achieves its financial and quality objectives.

 

Skills required

EDUCATION CERTIFICATION:

  • Bachelor degree in Accounting, Finance or equivalent.

REQUIRED KNOWLEDGE:

  • Knowledge of related computer applications including accounting software i.e. Enterprise, Excel, Cargowise and SAP.

EXPERIENCE REQUIRED:

  • 5+ year of management experience in Accounts Receivables.
  • 7+ years related Accounts Receivable experience, preferably in a fast-paced, freight-related environment.
  • Familiarity with Accounts Receivable procedures.
  • Superb administration and customer services skills.
