Responsibilities
Financial and Accounting Functions
- Ensure statements are sent to each client each month, electronically or by fax if necessary. Update system with email addresses for financial contacts to ensure statements and reminders can be delivered
- Follow up outstanding debtors by telephone, email, fax, or letter with a view to receiving prompt settlements of our invoices
- Resolve accounts or documentation problems and discrepancies related to debtors with customers and our other US branches ensuring immediate response to maximize cash flow, in a timely manner
- Check credentials of new credit applications and take up trade references before passing to the Chief Financial Officer for final approval
- Follow up Cash on Delivery payments and ensure branches are adhering to policy in this regard
- Liaise with appointed Rohlig USA branches and overseas agents to chase branch debt
- Process check deposits, bank deposits and cash allocations as well as running and distributing debtor reports (task shared within accounts receivable team)
- Be familiar with the Rohlig USA and Rohlig Quality procedures and work instructions and conduct activities in accordance with established Quality Management policies
Client and Supplier Management
- Maintains regular contact with other departments and clients to obtain and convey information and/or correct transactions, and ensure accurate data in our EDI computer system
- Reacts in a timely manner if there are any discrepancies and keeps record of discrepancies via the Innovations and Incidents Management (IIM) to ensure compliance
- Regularly reviews reports in order to refine and improve services to the customer
Authorization Levels
- To use discretion in deducting overdue accounts from overseas debtors where possible, or by arrangement
Skills required
- Demonstrates good interdepartmental relationships, a well as liaisons with suppliers and overseas agents, makes customers and their needs a primary function of ones action and decisions
- Can work productively despite setbacks, obstacles and work pressures, remains optimistic, focused and controlled
- Show initiative with handling complex problems and regularly reviews reported discrepancies and complaints within the branch in a timely manner, in order to refine and improve processes to the customer
- Accounting documents are accurate, and records and files are appropriately maintained and managed
- Set goals and objectives for specified departments in accordance with company guidelines in key performance areas and using agree key performance indicators (number of jobs, amount of revenue, revenue cost per job, expenses/revenue ratio)
- Adhere to the minimum standard to which Rohlig USA is committed (Quality ISO 9001:2015, Environmental ISO 14001:2015), and implementation of Rohlig USA Procedures, financial and quality objectives
- Achieve regional and global business objectives
- High school graduate required ; c highly desirable
Knowledge of related computer applications including accounting software i.e Enterprise, Excel, Word, and SAP
Familiarity with Accounts Receivable procedures - minimum 3 years related accounts receivable experience, preferably in a fast-paced, freight-related environment
Knowledge of general office practices and procedures
Demonstrated collections and book keeping experience
Superb administration and customer services skills, Prior experience in Freight Forwarding collections a plus
Has an eye for detail and accurate with their work
Well organized and self managed
Displays a friendly and approachable manner, shows resilience, perseverance, and confidence
Ability to exercise good judgment & discretion in handling calls
Analyses tasks and assess situations quickly
Clear and concise communication skills
Shows initiative and drive
