Supply Chain Invoicing & Customer Service

Responsibilities

Increasing Department Profits

  • Utilize discretion and independent judgment to engage vendors to increase margin on spot quote shipments
  • Utilize discretion and independent judgment to ship goods using the most efficient, cost effective route to increase margin on each shipment
  • Discretion to engage vendors
  • Negotiate rates with shipping vendors
  • Employee profit and loss on each shipment will be analyzed
  • Overall management of desk to maximize profit

Coordinating Operations with Supply Chain Solutions

  • Receives phone calls within the TMS department to provide customer service to both customers and suppliers
  • Provides backup support for Supply Chain Solutions team and their clients
  • Ensures support documentation is available and correct

Client and Supplier Management

  • Keeps record of discrepancies via the Innovations and Incidents Management (IIM) to ensure compliance
  • Regularly reviews reports in order to refine and improve service to the customer
  • Reviews quotes and records rates to clients and prospective clients
  • Manages allocated customers using established tools (e.g activity reports) in order to achieve and exceed targets
  • Traces orders and ensures that information affecting arrival or dispatch is communicated to customers
  • Receives shipment orders from customer and schedules pick-ups
  • Provides spot quotes to customers as requested

Financial and Accounting Functions

  • Manages WIPs and accruals
  • Resolves billing discrepancies with suppliers
  • Runs weekly batch invoices for domestic TMS customers
  • Works with customers to address invoice discrepancies

Skills required

  • Using independent judgment and discretion to maximize profit on each shipment  
  • Maintains excellent interdepartmental and supplier relationships  
  • Works independently despite setbacks, obstacles and work pressures, while  remaining optimistic and focused  
  • Shows initiative when handling complex problems  
  • Appropriate management of vendors
  • Adhere to the minimum standard to which Rohlig USA is committed (Quality ISO 9001:2015, Environmental ISO 14001:2015, and implementation of Rohlig USA Procedures, financial and quality objectives

  • High school diploma or G.E.D.

  • Familiarity with basic freight forwarding procedures

  • Essentially two years of previous related experience with Domestic Transportation

  • Experience with Microsoft office

  • Experience with EDI and CargoWise a plus

  • Excellent customer service and administration skills

  • Excellent time management

  • Customer focused

  • Shows initiative and drive

  • Team oriented
